On June 13, 2023, Intecracy Group held the offline Intecracy Solution Day event focused on creating reliable electronic archives for large organizations. The keynote speaker was Yurii Syvytskyi, who addressed architectural and practical decisions behind modern ECM systems. His presentation centered on long-term document storage, fast retrieval, secure access and strict control in complex enterprise IT environments, using Megapolis.Repository as the core example.

For an enterprise document management audience, the topic is directly connected with the move from scattered file repositories to governed archives integrated with business processes, retention practices and corporate security requirements.

An offline discussion on the document lifecycle

For large companies and public institutions, documents cannot remain just files stored in shared folders. They must retain legal significance, integrity, creation context and availability over long periods. This was the key point of Yurii Syvytskyi’s presentation: an archive should support the entire lifecycle of information, rather than simply accumulate copies of documents.

The presentation also covered file formats, metadata and the need to keep documents readable even when the original software environment becomes outdated. For large-scale infrastructures, this leads to a need for ECM architecture where retention, access, versioning and audit rules are built into the system rather than handled manually.

Megapolis.Repository as an ECM archive component

Search, access rights and audit controls

One of the practical themes of the presentation was the ability to find required materials quickly in a large archive. Megapolis.Repository uses metadata indexing and full-text search for this purpose. At the same time, the system must preserve granular access control, because in large organizations access to the same document set may depend on department, user role or information type.

“We must understand the trade-offs involved in designing such systems. For instance, deep indexing of document content increases search accuracy but demands significant computational resources. In Megapolis.Repository, we implemented a hybrid approach: critical metadata is indexed in real-time, while heavy text volumes are processed in the background,” explained Yurii Syvytskyi.

The role of audit logging was also emphasized. Recording views, changes, exports and other operations helps an organization monitor document handling and reduce the risk of unauthorized access or unnoticed deletion of important information.

Integration with the wider enterprise ecosystem

The electronic archive was discussed not as a standalone service, but as part of a broader IT ecosystem. Megapolis.Repository can interact with ERP, CRM, electronic document management and HR systems. This allows documents to be transferred to the archive directly from active workflows, without manual duplication and with a lower risk of human error.

For large organizations, this is important both technically and from a governance perspective. An archive becomes a part of data governance, supports control over information assets and helps preserve access to historical data in a secure environment.
