Security, Legal Validity and Usability
The workshop also addressed a core ECM challenge: the balance between strict control and ease of use. Corporate documents require protection, access rights management and compliance with personal data requirements. At the same time, users expect a clear interface and fast everyday operations that do not create unnecessary friction.
In this context, the use of qualified electronic signatures was discussed as a way to ensure the legal validity of actions performed in the system. The session also covered Low-Code/No-Code tools for configuring business processes without constant involvement from programmers. This approach can help organizations respond more quickly to changes in internal regulations or legal requirements.
“The biggest challenge during ECM system implementation is the balance between strict control and user convenience. Execution control must be invisible yet absolute,” Yurii Syvytskyi noted.
Archives and Data Integrity
The final part of the topic concerned long-term archival storage of electronic documents. For enterprises, it is important not only to retrieve files quickly but also to preserve their integrity, authenticity and legal force over time. Participants also discussed the role of specialized formats and regular updates of encryption certificates.
Overall, the presentation showed that the document lifecycle should be viewed as part of a broader enterprise digital ecosystem, where workflow, archives, access rights, execution control and data operate in a coordinated way.
